Junior Administrative Assistant, Finance

 

Reporting to the Reporting to the Director, Corporate Accounting & External Reporting, the Finance Administrator will ensure that department processes are run efficiently and effectively by leading or coordinating Finance processes, being the central responsible person for electronic document management, administering the intranet site and providing administrative support to the leaders in the Finance department.

 

Job Duties:

 

  • Coordinates the management of electronic and manual financial document for the entire department.
  • Supports the monthly key Finance processes including account reconciliations, planning, corporate financial reporting and project/operational status reporting.
  • Utilizes project management skills and tools to support Finance leaders in executing key organizational activities effectively.
  • Prepares correspondence, reports, agendas, action logs and presentations which are accurate, professionally formatted and timely.
  • Consolidates project information, including documentation status and milestone achievements.
  • Coordinates and provides support with hiring, on-boarding, off-boarding, agreements, full-time/contract staff, performance contracts, training, and vacation management.
  • Performs other ad hoc, administrative and clerical duties that are required for the effective and efficient administration of the Finance team.
     
    Experience and Qualifications:
  • Post-secondary education in Business Administration or related field.
  • 1 - 2 years' experience in process administration and administrative support, preferably supporting a Finance department.
  • Highly skilled in the use of software, (specifically Visio, Word, PowerPoint, Excel and electronic calendar/mail software).
  • Experience with calendar management and meeting coordination in MS Outlook
  • Strong understanding of work flows and ability to learn and adapt to new software/applications (such as document management systems, collaboration tools, MS project)
  • Strong organizational skills and ability to prioritize effectively and meet deadlines; time management skills; and office management skills.
  • Adaptable and flexible, with the ability to work in a fast paced environment and resourceful with the ability to influence personnel to meet organizational goals.
  • Excellent interpersonal skills demonstrating professionalism, sound decision-making and high quality customer service.
  • Demonstrated accountability and self-motivation, creativity, resourcefulness, and the ability to solve problems independently.
  • Excellent verbal and written communication skills.
  • Detailed Oriented – ensures work is completed with minimal errors.
