The final salary offered will be determined based on a holistic assessment of the candidate’s experience, education, training, and alignment with the role’s requirements. The Executive Office Lead plays a central role in advancing the priorities of the Chief Innovation & Technology Leader (CITL), combining high-level executive support with strategic and operational coordination to strengthen the impact of the Innovation & Technology organization.

 

Operating in a fast-paced executive environment, this role is responsible for translating the CITL's agenda into action, maintaining focus, building momentum, and aligning key organizational priorities, initiatives, and business activities. As a trusted partner to the CITL, the Executive Office Lead supports effective planning, coordination, communication, and execution of strategic operational priorities. This role is central to the smooth operation of the executive office.

 

Facilitating collaboration, supporting informed decision-making, and driving accountability for the delivery of objectives. Through strong organizational, analytical, relationship management, and digital acumen, the Executive Office Lead enables the CITL and Technology Leadership Team to operate effectively and advance organizational goals.

KEY RESPONSIBILITIES:

  • Provide high level and strategic proactive executive support to the CITL, managing priorities, schedules, travel, stakeholder engagements, and preparation for key meetings and decisions through agendas, briefing materials, research, and follow-up actions.
  • Act as the central coordination point for the CITL and Technology Leadership Team, supporting leadership meetings, strategic planning, technology roadmaps, digital transformation initiatives, and the execution of business and technology priorities.
  • Coordinate the Technology Leadership Team's operating cadence, including agendas, action tracking, follow-up on commitments, meeting logistics, and stakeholder engagements.
  • Support the planning, coordination, monitoring, and governance of technology, cybersecurity, innovation, and digital transformation initiatives, including tracking priorities, milestones, risks, dependencies, and deliverables.
  • Develop and maintain tools, dashboards, processes, and reporting mechanisms that support decision-making, accountability, and the effective execution of strategic, operational, and technology objectives.
  • Prepare executive- and Board-level presentations, briefing notes, reports, correspondence, and other materials; conduct research and analysis to support planning, problem-solving, and informed decision-making.
  • Build and maintain effective relationships with internal and external stakeholders, serving as a key point of contact for the CITL's Office and managing inquiries and sensitive matters with professionalism, discretion, and sound judgment.
  • Oversee administrative and governance activities for the CITL's Office, including expenses, procurement, records management, meeting documentation, and the use of digital tools to enhance operational efficiency and effectiveness.
  • Identify and implement continuous improvement opportunities that strengthen the effectiveness, efficiency, and impact of the CITL's Office and Innovation & Technology organization.

 

REQUIREMENTS:

  • Post-secondary education in Business Administration, Information Technology, Computer Science, Commerce, Communications, Public Administration, or a related discipline. A combination of education and related experience may be considered.
  • Three (3) to five (5) years of experience in executive support, business/technology operations, strategic coordination, project management, consulting, or a related field.
  • Experience supporting senior executives and leadership teams in a complex, fast-paced corporate, public-sector, regulated, or technology-focused environment.
  • Experience preparing executive-level presentations, briefing materials, reports, and correspondence.
  • Experience coordinating multiple priorities, stakeholders, initiatives, and projects while meeting tight deadlines.
  • Experience supporting technology, innovation, digital transformation, cybersecurity, or enterprise technology functions is considered an asset.
  • Experience coordinating technology projects, strategic initiatives, governance activities, or cross-functional programs is considered an asset.
  • A Master's degree is considered an asset.
  • Excellent attention to detail and the ability to translate strategic objectives into actionable plans and tangible outcomes.
  • Demonstrated ability to proactively anticipate needs, think ahead, and manage competing priorities with minimal direction.
  • Strong analytical, organizational, and problem-solving skills, with the ability to exercise sound judgment in complex situations.
  • Exercises sound judgment and handles highly confidential and sensitive information with professionalism and discretion.
  • Exceptional written and verbal communication skills, including preparing executive-level briefings, reports, presentations, and correspondence.
  • Strong relationship-building, facilitation, and stakeholder management skills, with the ability to coordinate diverse perspectives and support effective decision-making.
  • Demonstrated interpersonal effectiveness, professionalism, and customer-focused behaviour.
  • Strong digital literacy with the ability to quickly learn and effectively utilize technology platforms, collaboration tools, reporting solutions, and productivity applications.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and other productivity tools.
  • Familiarity with technology concepts, digital transformation initiatives, cybersecurity governance, enterprise systems, and technology delivery methodologies is considered an asset.
  • Experience with Board governance platforms, enterprise systems, reporting tools, project management solutions, or collaboration platforms is considered an asset.

This position is based in a hybrid environment allowing for remote work two days per week, based on business needs. Employees will be required to come onsite Tuesday to Thursday. You are expected to live in Ontario and within reasonable commuting distance of the office.
